Create & Approve/Reject Leads on the go

  • Create Leads. it only takes 02 pieces of information to create a Lead: the client's customer name and contact details and, a quick description of the Outsourced Services;
  • Link Leads to the Service Lines that are actually offered by the the Outsourced Services' Provider;
  • Capture the client's customer representatives information & update the customer's information database;
  • Categorize Leads (One/off services vs. recurrent ones, Internal vs. External; Exclusive Talks vs. Bidding Process, Output-based vs. Input-based vs. Lump sum vs. Cost plus);
  • Link Leads to the actual locations where the Outsourced Services are needed (Drop pins on a Google map);
  • Capture all transactions (Minutes of Meetings, Phone call summary, Notes...) with the client's customer representatives throughout the life of the Lead;

  • Seek and capture the internal decisions for the Leads (Approval or Rejection): Those assigned (by the Outsourced Services' Provider) the roles of LEAD VALIDATOR & LEAD APPROVER can choose to approve a Lead, and hence convert it to an Opportunity;

Qualify & Approve/Reject Opportunities

  • Update, if necessary, all past information that was created at the time of the Lead creation and approval;
  • Capture the clients’ specific requirements for the Outsourced Services (as detailed in their RfPs and tenders) & create a summary of these requirements under the following header: Manpower, CMMS/CAFM* arrangement, Spare Parts, Consumables, Service Level Agreements, Key Performance Indicators, Penalties, Sites’ available amenities, Assets & Locations that are the subject of the Opportunity. This will pave the way for the costing exercise (Quotation) that would take the place in case a decision to bid is taken;
  • Raise RfIs (Requests for Information) to the client in case clarifications are required;
  • Seek and capture the internal decisions for the Opportunities (Approval or Rejection): Those assigned (by the the Outsourced Services' Provider) the roles of OPPORTUNITY VALIDATOR & OPPORTUNITY APPROVER can choose to approve an Opportunity, and hence covert it to a Quotation.
  • * Computerized Maintenance Management System, Computer-Aided Facility Management.

Produce Quotations on the back of the Approved Opportunities

  • Generate a Quotation (effectively a budget P/L) that covers the following elements: Manpower cost, Spare Parts & Consumables cost, Transportation cost, Bonds cost, accommodation cost, Tooling & equipment cost, Overhead cost, mark-up and finally, the sale's price;
  • Seek and capture the internal decisions for the Quotations (Approval or Rejection):Those assigned (by the Outsourced Services' Provider) the roles of QUOTATION APPROVER can choose to approve a Quotation, and hence approve its submittal to the client;
  • Track and capture on Advansale the client's customer feedback on the submitted quotations. Updated versions of the Quotation can be generated should there be a need to do so (for example, if a client alters the scope of the works or requests a discount);
  • Generate the DAILY WORK PROGRAM. Advansale will AUTOMATICALY generate, for each DAY OF THE OUTSOURCED SERVICES' TERM, the list of planned tasks based on the uploaded Assets/Locations' registers, and the Activities assigned to these Assets/Locations;
  • Seek and capture the internal decisions for the Quotations (Approval or Rejection).
  • Document the client's customer decisions regarding the submitted Quotations;
  • Create Contracts on the back of the customer-approved Quotations.

Advansale enable the Outsourced Services' Provider to upload asset and location specific survey questions. These questions are then automatically displayed when the Opportunity's survey is being conducted, should this Opportunity be linked to the aformentioned assets and locations. The answers to these questions, directly captured on Advansale, make up the Survey Report;

Advansale generate detailed estimates of the daily manpower cost that is chiefly and directly linked to the planned and ad-hoc tasks the client have decided to include in his proposal to his customer. Advansale, in the case of Leads that involve repeated tasks, generate Daily Work Programs, such as Preventative Maintenance Plans, based on the client-chosen Activities;

These Quotations, which in effect are Budget P/L, include costing elements ranging from manpower, to logistics (transportation & staff accommodation), to spare parts, to bonds, to amenities, to tools/machineries, to IT and to subcontractors. For example: logistics costs are estimated with the help of Google: Enter the client’s sites and those of the manpower’s accommodation... and voilà.

There are no restrictions with regards to the number of users or their roles that any client can assign to his employees.

How It Works?

Create Users, Assign Roles, Put the Services' Master Data to use and .. Voilà: Launch the Power of Advansale!

Before Advansale can be used, the Outsourced Services' Provider must first replicate, on Advansale, its own Operational & Business Development set-ups. This is executed in few successive quick steps:

Create Employees

This is needed so that Leads, originated through an internal channel (i.e. employee), can be credited to these employees. There is no limit to the number of employees added to Advansale by the Outsourced Services' Provider. Employees and their respective roles can be created by those holding the role of SYSTEM ADMINISTRATOR or, if deemed more convenient, directly by us, once we receive the required information from the client.

Assign Roles To Employees

To foster transparency, governance and role ownership, Advansale is established as a role-enabled platform. It allows different employees to hold multiple predefined roles*. Though there is no limit to the number of roles that can be held by any of the client's employees, the assignment of the roles needs to be carefully executed to preserve governance. By default, all employees granted access to Advansale (i.e. holding any one of the Advansale roles) can create Leads, though they can only view the ones that they have created. They can't see Leads created by other employees to restrict the risks of data leakage.

* LEAD VALIDATOR, LEAD APPROVER, OPPORTUNITY VALIDATOR, OPPORTUNITY APPROVER, QUOTATION GENERATOR, QUOTATION APPROVER, CONTRACT VIEWER, SALES REPORT VIEWER, SALES REPORT MANAGER and, of course, SYSTEM ADMINISTRATOR.

Create Service-related master data

These master data represent the information that underpins the delivery of the Outsourced Services by the client. In short, these master data are made of:

  1. the list of Service Lines offered by the Outsourced Services' Provider;
  2. the list of Assets/Locations that fall under these Service Lines,
  3. the list of Activities & Tasks pertaining to the assets/locations,

Advansale come out of the box with few hundred of Service Lines, Assets/Locations, Activities and Tasks. However, it goes without saying that these master data, which are are only accessible by the Outsourced Services Provider's authorized employees, arefully updatable at will by the client.

Launch the Power of Advansale

Once the set-up is complete, the Outsourced Services' Provider will unlock the power of Advansale to manage and track every aspect of his sale's cycle. The costing capabilities will enable the Outsourced Services' Provider to drastically reduce the time it takes to produce a detailed cost estimate. the time saved can be put to good use: run different simulations, better assess the risks associated with the Lead....Additionally, the costing exercise will deliver two important documents:

  1. A register of actual tasks (DAILY WORK PROGRAM) that need to be delivered to the client,
  2. A site survey report, created on Advansale.

Both documents can be attached to the commercial proposal, sent to the client, to enhance its quality.
